Privacy Policy

This Privacy Policy explains how Docshield Inc. (“Clad,” “we,” “us”) collects, uses, and shares information in connection with the Clad servicing platform and related services (the “Services”). Clad provides white-label insurance servicing to licensed insurance brokerages (“Brokerages”). It is written to describe our practices in plain terms; it is not a substitute for advice from your own counsel.
Information we collect
We collect information in three main ways:
- Information Brokerages provide. When a Brokerage engages Clad, it shares its book of business — including policyholder contact details, policy and coverage data, carrier information, and related correspondence — so that we can service those accounts on the Brokerage's behalf.
- Information you provide directly. Account and contact details, demo requests, and messages you send us.
- Information collected automatically. Basic usage and device data (such as IP address, browser type, and pages visited) collected through standard web technologies when you use our website.
How we use information
We use the information we collect to:
- Service insurance accounts on behalf of Brokerages — including quoting, binding, endorsements, renewals, certificates, billing questions, and claims support;
- Operate, maintain, and improve the Services, including our AI systems;
- Communicate with Brokerages and their clients under the Brokerage's brand;
- Protect the security and integrity of the Services; and
- Comply with legal and regulatory obligations.
How we share information
We share information only as needed to provide the Services:
- Insurance carriers and markets engaged through the Brokerage's existing appointments, to place and service coverage;
- Service providers who process data on our behalf under contractual confidentiality and security obligations;
- Legal and safety disclosures where required by law or to protect rights, property, or safety.
We do not sell personal information, and we do not use one Brokerage's data to serve any other.
Data retention
We retain information for as long as needed to provide the Services and to meet legal, regulatory, and recordkeeping requirements applicable to insurance records. Brokerages may request return or deletion of their book data as described in their agreement with us.
Security
We handle client and carrier data to bank-grade standards, including encryption in transit and at rest and role-based access controls. No method of transmission or storage is perfectly secure, but we work continuously to protect the information entrusted to us.
Your choices and rights
Because Clad services accounts on behalf of Brokerages, requests from policyholders to access, correct, or delete their information are generally directed to the Brokerage that maintains the relationship. We support Brokerages in responding to those requests as required by applicable law.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the date above and, where appropriate, provide additional notice.
